The Document Controller is responsible for ensuring that all documentation across the organisation is managed effectively, accurately, and in line with regulatory, stakeholder, and customer requirements. This role is central to maintaining a robust document management system and supporting teams throughout the full document lifecycle.
Job Responsibilities
Document Management & Governance
- Develop, maintain, and continuously improve document management systems to meet regulatory, stakeholder, and customer requirements.
- Ensure all documentation follows established standards, templates, and governance processes.
- Maintain full lifecycle control of documents, including creation, numbering, publishing, version control, review, approval, and withdrawal.
Operational Control & Support
- Act as the primary point of contact for all document control queries, providing guidance and resolving issues professionally.
- Monitor the overall health of document management processes, identifying risks and supporting mitigation actions.
- Review submitted documentation for accuracy, completeness, and compliance with document control procedures.
Tracking, Reporting & Assurance
- Prepare and deliver document metrics, dashboards, and status reports as required.
- Issue controlled copies and transmittals, ensuring all associated trackers and registers are kept fully up to date.
- Provide assurance that document management processes remain fit for purpose and are consistently applied across the organisation.
Stakeholder Engagement
- Work closely with internal teams to support document creation, review cycles, and timely approvals.
